Guide to viewing and managing messages related to invoices

Messages Overview

Overview

The Messages section allows you to view and manage messages related to invoices. Messages can be exchanged between administrators and customers regarding invoice questions, disputes, or clarifications.

Message Features

  • View Unread Messages: See messages that haven't been read yet
  • View All Messages: See all messages regardless of read status
  • View Messages by Customer: Filter messages by customer

Message Organization

Messages are organized by billing type:

  • AIRNAV: Messages related to AIRNAV invoices
  • Airport PASC: Messages related to PASC invoices
  • Handling Agent: Messages related to Handling Agent invoices

Unread Message Indicators

The system displays badges showing the number of unread messages:

  • Badges appear next to billing type tabs
  • Badges show the count of unread messages
  • Badges update automatically as messages are read

View Unread Messages

Overview

The View Unread Messages page displays all messages that you haven't read yet. This helps you quickly identify and respond to new inquiries.

How to View Unread Messages

  1. Navigate to Messages → View Unread Messages
  2. The page displays tabs for each billing type (AIRNAV, Airport PASC, Handling Agent)
  3. Each tab shows unread message count in a badge
  4. Click on a tab to see unread messages for that billing type
  5. Click on an invoice card to view the invoice and message thread

Message Display

For each invoice with unread messages, you can see:

  • Invoice number and customer name
  • Latest message preview
  • Message sender name
  • Message date and time
  • Unread message count badge

Accessing Messages

To view and respond to messages:

  1. Click on an invoice card
  2. You'll be taken to the invoice details page
  3. The Messages tab shows the full message thread
  4. You can read and reply to messages
  5. Messages are marked as read when viewed

Important Notes

  • Unread messages are specific to each user
  • Messages are organized by billing type
  • Clicking an invoice opens the invoice details page
  • Unread counts update as you view messages

View All Messages

Overview

The View All Messages page displays all messages in the system, regardless of read status. This allows you to see the complete message history.

How to View All Messages

  1. Navigate to Messages → View All Messages
  2. The page displays tabs for each billing type
  3. Each tab shows all invoices with messages
  4. Unread message counts are still shown in badges
  5. Click on an invoice card to view messages

Differences from Unread Messages

  • Shows all messages, not just unread ones
  • Includes invoices with only read messages
  • Provides complete message history
  • Still highlights unread messages with badges

Important Notes

  • All messages are shown regardless of read status
  • Unread counts help identify new messages
  • Useful for reviewing complete message history

View Messages by Customer

Overview

The View Messages by Customer page allows you to filter and view messages organized by customer. This helps you see all messages for a specific customer.

How to View Messages by Customer

  1. Navigate to Messages → View Messages by Customer
  2. The page displays a table of customers with messages
  3. Use search to find specific customers
  4. Click on a customer to view their messages

Customer List

The table shows:

  • Customer name
  • Action button to view messages

Viewing Customer Messages

When you click on a customer:

  • You'll see all invoices for that customer with messages
  • Messages are organized by invoice
  • You can access the full message thread for each invoice

Important Notes

  • Only customers with messages are shown
  • Useful for customer service and support
  • Helps track all communications with a specific customer
